Event clients decide quickly and change their minds often. A clear proposal gives them something concrete to approve and gives you a record of what was agreed.
Restate the date, venue, expected guest count and the goal of the event in a few lines. Corrections at this stage cost nothing.
Say which items you arrange, which the client arranges, and which are handled by third-party vendors. Many disputes at events come from assumptions about responsibility.
List the dates by which the client must approve the design, confirm the guest count and pay each instalment. Dates make delays visible early.
State how guest-count changes, date changes and added items will be priced, and until when each change is possible.
End with one clear next step, such as confirming by reply and paying the advance. Keep a copy of the approved proposal and quotation together.
